Terms & Conditions
1, Bookings
Bookings are made online and will be confirmed by email. The booking is confirmed once we receive the payment and receipt of this constitutes acceptance of these terms and conditions. Bookings can be made up until the end of the day before.
2, Payments
Grittleton Adventures accepts payment via credit or debit card. Payments are made in full at the time of booking. We cannot accept childcare vouchers.
3, Amendments to your booking
You can move the date of your booking within the same holiday period (ie, summer or Easter), subject to availability and provided you do so more than 7 days before the original booking date.
4, Cancellations
If you give us at least 28 days’ notice before the date of the booking you wish to cancel we will refund in full, less and admin charges. If you give us less than 28 days notice before the date(s) you would like to cancel, no refund is available.
In the case of illness/injury we can offer credit for any days missed and look to reschedule your booking. You can self-certify absence for the first 2 days but any absence longer than this, we would require a doctor’s note issued within 14 days of the first date of illness.
5, Child Information
It is the responsibility of the person making the booking to ensure that full and arcuate details are provided, in particular date of birth, medical and other special educational needs and emergency contact information. Failure to do so may result in the child being excluded from the holiday club and no refund will be paid.
On arrival for their first visit, official documentation ie, passport or birth certificate must be provided at registration, to show proof of the child’s name and date of birth.
6, Health & Safety
If your child has additional needs you may need to discuss this with us prior to booking to ensure our staff can fully support your child. Children with certain medical, physical or behavioural conditions or those who cannot demonstrate the required skill to take part safely may not be able to participate in some activities.
We have a duty of care to ensure we can keep children safe at all times, so where English is not the child’s first language, they must have a suitable level of understanding to ensure they can follow instructions from staff to keep themselves and others safe.
Grittleton Adventures requires that all children who are ill or infectious be kept at home for the full duration of their ailment. Our staff team are unable to administer medication.
In the event of an accident, first aid will be administered to children in our care and emergency service will be called if necessary. All emergency medication must be handed to our Adventure Manager on arrival for safe keeping.
7, Age Groups
We are offering two different age groups for activities, 8-10year olds and 10-12 year olds. If you have children who wish to be together but fall into different age brackets, older children can move down to the lower age group.
If we have days where attendance numbers are lower than expected we may choose to group all children together. They will still participant in the same activities throughout the day.
8,Child Protection
Grittleton Adventures staff have a duty to respond if they suspect a child may be suffering from or makes a disclosure about abuse. In the event staff will contact the relevant local authority and act on their advice.
9, Photography/Video
Occasionally Grittleton Adventures may take photographs of children/groups for promotional material. Please advise us via the booking portal should you have any objections to this activity
10, Personal Property
Grittleton Adventures will not take responsibility for your child’s personal property. Please ensure that your child only brings what is required for the day as detailed through the booking system. If your child has lost any property please contact our Adventure Manager who will do their best to assist you. Lost property will be kept until the end of each year when any unclaimed property will be donated to charity.
Any expensive or treasured items such as electronic devices ie, mobile phones, jewellery, designer clothes should not be brought to our Holiday Clubs as they are not appropriate.
11, Exclusions
Grittleton Adventures has the right to decline/cancel a booking or exclude any child for any reason at its absolute discretion if the behaviour of the child is considered to be dangerous or inappropriate. No refund for days missed and no compensation will be made for any other costs or losses incurred as a result. Please, note that exclusion may also result due to persistent late collection.
12, Late Collection
All children MUST be collected by the collection time on the booking. If for any reason you are unable to collect by your collection time, we ask that you call the Adventure Manager as soon as possible. You will be charged a late pickup fee of £5 for every 5 minutes to cover additional staffing costs. If we have no contact from the parent or guardian by 6.30pm, we will contact social services.
13, Programme and Activities
From time to time, we may need to amend our activities, services and dates for reasons within or outside our control. Activity programmes are subject to change due to whether or operational factors beyond our control and we reserve the right to substitute alterative itinerary without notice or liability. No amendment will be made to the price due to such amendments.
14, Force Majeure
Grittleton Adventures shall not be liable for any delay in performing or failure to perform any obligation (including actioning any alteration of cancellation) due to any cause beyond our reasonable control including but not limited to acts of God, flood, drought, earthquake or other natural disaster, an endemic, epidemic or pandemic, a terrorist attack, civil war, civil commotion or riots, war, threat of or preparation for war, armed conflict, imposition of sanctions, embargo, or breaking off of diplomatic relations, nuclear, chemical or biological contamination or sonic boom, any law or any action taken by a government or public authority, including without limitation imposing an export or import restriction, quota or prohibition, collapse of buildings, fire, explosion or accident.
Where a Force Majeure Event affects the performance of the Services, Grittleton Adventures shall at its discretion be entitled to vary the description and scope of the Services to enable performance of the Services. If a variation is not possible, Grittleton Adventures may terminate this Agreement by giving notice to the Customer and Grittleton Adventures’ only liability is to refund any proportion of the costs you have paid that Grittleton Adventures is able to recover such costs from suppliers
15, Insurance
All children in our care are covered by our Public Liability Cover.
16, Complaints

17, Data Protection
Personal information requested during the booking process is held digitally via our booking system and only used for purposes of fulfilling the booking. We take full responsibility for ensuring the security of all data.
